This section outlines how we collaborate with clients on 3D animation, motion design, and visualization projects. It reflects our current process: requests begin on the Order page, pricing is scoped to each brief, scheduling is aligned with queue priority and complexity, and approved payments are completed on the Payment page. Scope of Services

Artwarex 3D Studio provides 3D animation, visualization, motion graphics, and related production support. Scope is defined by the approved quotation and includes agreed deliverables, formats, and timelines. We work with professional 3D tools and production-standard workflows to deliver consistent, high-quality results.

Quotation & Approval Process

Quotes are tailored to each project based on requirements, usage, and complexity. Work begins after written approval and confirmation of the initial payment milestone.

Client Responsibilities

Clients must provide accurate briefs, reference materials, brand assets, and timely feedback. Clients may also supply images, video, audio, music, voiceover, and related source materials for use in production. The client represents that they own or have secured all necessary rights, licenses, and permissions for any supplied materials. Delays in approvals or missing materials may impact the schedule and delivery dates.

Project Timelines

Timelines are estimated at the time of booking and depend on scope, asset readiness, and queue priority. Production starts once all agreed inputs are received and the milestone payment is cleared.

Revisions & Change Requests

Revisions are included as defined in the quotation. Requests that alter the approved scope, deliverables, or timeline may require a new estimate and schedule adjustment.

Payment Terms

Payments follow a milestone structure aligned with production stages. Deposits secure scheduling, and subsequent payments align with approved deliverables. Final delivery occurs after the final payment is completed.

Intellectual Property

Clients retain rights to their pre-existing assets. Client-supplied source materials remain the property of the client. Artwarex 3D Studio retains ownership of project files, processes, and proprietary tools. Usage rights for final deliverables are transferred upon full payment.

Delivery Terms

Final delivery formats, resolutions, and handover methods are listed in the approved quote. Delivery is completed after all invoices are settled and approvals are received. Usage rights for final deliverables transfer upon full payment, as described above.

Cancellations & Project Holds

Cancellations must be submitted in writing. Work completed to date will be invoiced. Projects placed on hold may require rescheduling subject to studio availability.

Refund Policy

Deposits are generally non-refundable once work or resource allocation has started. Milestone payments correspond to completed production stages. Refunds for unfinished work may be considered at our discretion based on project stage and costs already incurred.

Delays Due to Missing Client Materials

If required assets or approvals are not delivered on time, production may pause and schedule commitments will be re-evaluated. Extended delays may require a revised timeline or updated estimate.

We invoice for completed milestones and any in-progress work already staffed. Deliverables created up to the cancellation point can be transferred once payment is settled.

How do milestone payments work? +

Milestones are tied to defined production stages (script, style frames, animation, final). Each invoice unlocks the next stage, ensuring pacing and approvals stay aligned.

What if client feedback is delayed? +

We hold the schedule for a defined feedback window. Extended delays may shift the timeline or incur a rebooking fee to realign the team and production pipeline.

When are final files released? +

Final masters, project files, and delivery packages are released after final approval and full settlement of the closing milestone invoice.
